Charity information

Ezra Charitable Trust CIO is a Christian charity seeking to support those in hardship in the area local to Camberley.

Currently the charity offers hot meals and community fridge and is run entirely by volunteers.

Ezra seeks to grow its volunteer supporter base to be able to open more frequently and provide much needed services to the community.

General skills

  • Willingness to learn

  • Good time keeping and diligent approach to work

  • Competent IT skills, including knowledge of Excel, Word, Gmail and Google drive. Good knowledge of ChurchSuite/CharitySuite would be an advantage, though some training will be provided..

  • Ability to record information accurately, objectively and within prescribed timescales

  • Excellent time management and proven ability to prioritise effectively

  • Excellent personal communication skills, verbal and written

  • Ability to work in a team, to understand your role and the role of the team in the wider context of the charity

  • Ability to build, develop and maintain strong and effective working relationships both internally and externally with a range of individuals

  • Ability, to observe and feedback in a constructive and practical way, on areas the charity may improve its practices and processes suggesting possible solutions to maintain positive progress.

  • Experience of forming and maintaining appropriate professional boundaries.

  • Ability to be flexible to assist with other duties as necessary to ensure the smooth running of the charity.

  • Ability to respect the Christian Ethos of the charity and support volunteers and services users from all faith backgrounds and none.

  • To be able to work flexible hours to assist staff or volunteers through providing administrative advice or information on evenings, weekends, Bank Holidays, as agreed with line manager.

  • Availability to attend a weekly meeting or additional meetings with volunteers, staff or externally.

  • Experience maintaining confidentiality, administering GDPR practices and understanding of safeguarding. 

Job Description

Manage own time to regularly check the charity gmail and respond and action the various requests.

Populate the internal database, Charity Suite, with data and maintain the integrity of information held the database.

Liaise with potential new volunteers over email, reviewing applications, passing any issues to trustees to consider, and gaining references.

Ensure volunteer training is kept up to date and remind volunteers and trustees where additional or refresher training needs to be addressed.

Monitor volunteer rotas, ensuring there are sufficient volunteers for each service and alert trustees and volunteers where there may be too few volunteers and the service may need to cancel a session.

Be the first point of contact for volunteers with any queries or issues and be able to action or pass to trustees as appropriate.

Check the session summary regularly to see where there may be issues to deal with, such as needing to order more cleaning supplies.

Assist with building maintenance, finding quotes for work needed and passing to trustees to make decisions.

Assist with other supplier appointment and contracts such as utilities and property related services, such as annual gas safety checks.

Prepare/update Assured Shorthold Tenancy Agreement for new tenants or renewals.

Prepare monthly rental invoice and utilities invoice for tenant and chase for payment.
